Privacy notice
Last updated: 10 October 2026
This privacy notice explains how Federra.cloud ("Federra", "we") handles personal data when you visit federra.cloud, request a fact sheet, or submit a Letter of Intent or cloud request. We collect only what we need, keep everything within the European Union, and use no tracking cookies, analytics or advertising.
1. Who is responsible for your data
The controller of your personal data is Federra.cloud, Talingstraat 49, 1531VJ Wormer, registered under number KVK 62549626. For any question about your data, email rodolphe@federra.cloud.
2. What data do we collect
- When you visit the website: the technical data your browser sends automatically, such as your IP address, the date and time, the page requested, the referring page and your browser type. Our web server records this in log files.
- When you request a fact sheet: your email address, optionally your name and company, and which fact sheet and language you chose.
- When you submit a Letter of Intent or cloud request: the details you enter, such as your name, role, business email address, phone number, company name, registration number, website and country. Depending on the form, also information about your sites (address, available power, energy and connectivity), your chosen partner model, expected capacity and pricing, the services and certifications you need, and any notes. These forms ask for business information; please don't include sensitive personal data.
- When you email us: your message and contact details.
3. How do we collect your data
Directly from you, when you fill in a form on our website or email us, and automatically from your browser when you visit the website.
4. How will we use your data, and on what legal basis
- To send you the fact sheet you requested and keep you informed about Federra. Basis: your consent (Article 6(1)(a) GDPR), which you give with the checkbox on the form.
- To assess your Letter of Intent or request, contact you, and prepare a proposal or agreement, including sending you a confirmation email with a copy of your submission. Basis: steps taken at your request before entering into a contract (Article 6(1)(b) GDPR), and your consent.
- To keep the website and forms secure and working, and to prevent abuse, for example by limiting repeated submissions. Basis: our legitimate interest in a secure and reliable website (Article 6(1)(f) GDPR).
- To meet legal obligations, such as keeping business records if an agreement follows. Basis: legal obligation (Article 6(1)(c) GDPR).
We don't sell your data, don't use it for profiling or automated decision-making, and don't show advertising.
5. Marketing
We only send you information about Federra if you asked for it, for example by ticking the box to be kept up to date when requesting a fact sheet. You can opt out at any time by replying to any of our emails or by writing to rodolphe@federra.cloud.
6. Who receives your data
- The members of the Federra team who handle your request.
- Our hosting and email provider in the Netherlands, which stores and transmits data on our behalf under a data processing agreement and may not use it for its own purposes.
- Partners in the Federra federation, only where this is needed for your request and you have agreed to it.
- Authorities, only where the law requires us to.
7. How do we store and protect your data
All personal data is stored and processed within the European Union, on servers in the Netherlands; we don't transfer it outside the European Economic Area. The website and its forms are only available over an encrypted connection. Submissions are delivered to our own mailbox rather than to a third-party service, and access is limited to the team members who need it. We host our fonts and all other website files ourselves, so visiting our website sends no data to Google or other third parties.
8. How long do we keep your data
- Web server log files: 14 days.
- Abuse prevention: a record linked to your IP address for up to one hour, and a one-way coded (hashed) version of your email address for 24 hours, so the same address doesn't receive repeated confirmation emails.
- Fact sheet requests: up to 12 months, or until you withdraw your consent.
- Letters of Intent and requests: up to 24 months after our last contact with you. If an agreement follows, we keep the relevant data for the duration of the agreement and the retention periods required by law.
9. What are your data protection rights
You have the following rights:
- Access: to receive a copy of the personal data we hold about you.
- Rectification: to have inaccurate data corrected and incomplete data completed.
- Erasure: to have your data deleted, under certain conditions.
- Restriction: to have the processing of your data restricted, under certain conditions.
- Objection: to object to processing based on our legitimate interest.
- Data portability: to receive your data in a structured, commonly used format, or have it transferred to another organisation, under certain conditions.
- Withdrawing consent: at any time, without affecting processing that took place before.
Exercising your rights is free. Email rodolphe@federra.cloud; we respond within one month and may ask you to confirm your identity first.
10. Cookies and local storage
Our website uses no cookies, no analytics and no tracking technologies. The Letter of Intent and cloud request pages store your language choice in your browser's local storage (under the name federra_lang), so the forms show the right language. This stays on your device, is never sent to us, and you can remove it at any time by clearing your browser's site data.
11. Privacy policies of other websites
This privacy notice applies only to federra.cloud. If you follow a link to another website, please read that website's own privacy notice.
12. Changes to this privacy notice
We review this notice regularly and update it when our processing changes. The date at the top shows when it was last updated.
13. How to contact us
For questions about this notice, or to exercise your rights, contact us at rodolphe@federra.cloud or by post at Federra.cloud, Talingstraat 49, 1531VJ Wormer.
14. How to contact the supervisory authority
If you believe we don't handle your data properly, we'd like to hear from you first. You also have the right to lodge a complaint with a data protection authority, in particular the one in the EU country where you live or work, or with our lead authority: Autoriteit Persoonsgegevens (autoriteitpersoonsgegevens.nl).
